Orpyca can be downloaded, installed and used without paying anything, without counting users and without an expiry date. If your institution has a server and technical staff, you do not need to hire us.

Figures are 2026 reference values in Colombian pesos and do not include VAT. A real implementation is quoted on the size of the institution, the documentary volume and the state of the system being migrated from.

What does cost money is what a person does: getting the system running with your retention schedules and your organisational structure, bringing the data across from the previous system, training people, answering when something breaks at six on a Tuesday evening, and running the server if you would rather not.

It is charged by the hour because it is not a button: the work is mapping the source system onto the import format and validating the result.

Let us be clear about migration

This is the service most exaggerated in this market, so it is worth stating exactly what exists and what does not.

What is migrated

  • Inbound, outbound and internal records, with their original number intact.
  • Attachments, with integrity verification file by file: if one byte does not match, the load stops.
  • Metadata, including the institution’s own fields.
  • The reserve classification, with its legal basis and its term.
  • The processing history: who did what and when.
  • The link between an inbound communication and the outbound one answering it.

What is not migrated automatically

  • Case files, users and roles: today they are configured or loaded separately, not carried in the import package.
  • Passwords. Older systems store them with algorithms that cannot be reused, so people reset theirs on first sign-in.
  • The retention schedule is loaded with assistance, not unattended: translating final dispositions needs human review so nuances such as microfilming versus digitisation are not lost.
  • Any web-service integrations the previous system had with other institutional systems. They must be rebuilt, and it pays to inventory them before starting.

How we work

The system imports packages in an open, published format, and the import is all-or-nothing: if something fails validation, nothing is left half migrated. Our hourly work is building the translator from your source system into that format, running the loads in batches and verifying them. That is why it works just as well from Orfeo as from any other system: what changes is the translator.

With Orfeo we start ahead, because Orpyca is its heir and we have analysed seven real installations, with their differences in numbering, unit structure and metadata. But there is no migrator that runs by itself: every institution configured Orfeo its own way, and that is paid for in mapping hours.

What we need from your side

  • Access to the previous system’s database, or a dump.
  • Your retention schedule loaded before migrating, because incoming records must be able to point at a series that exists.
  • An inventory of the integrations currently consuming the old system.
  • Someone at the institution who can settle business questions: what a field means, what to do with incomplete data.

We hand over the complete database and the documents, in open documented formats, at no charge and with no waiting period. The software you will read them with is free, so you can keep operating without us. A supplier that makes leaving difficult is charging for the lock-in, not for the service.
